Information we collect
When you use the website enquiry form, we store your name, contact details, preferred home or area, budget, move date, work location, viewing availability and the information in your message. We also record the submission time and limited source information, such as the page used and campaign tags, so we can respond and understand where genuine enquiries originate.
If an application progresses, we may also collect identity, right-to-rent, employment, affordability, referencing, payment and tenancy-management information. We may receive application information from referencing providers, guarantors or other people you ask to support your application. Our website and hosting providers may also generate limited technical and security logs needed to deliver and protect the service.
How and why we use it
We use enquiry details to respond, identify potentially suitable rooms and arrange viewings. This is normally necessary to take steps at your request before entering into a contract. If you become a resident, we use your information to administer the tenancy, communicate about the home, manage payments, repairs and compliance, and meet our contractual and legal obligations.
We may also use proportionate records for our legitimate interests in running and protecting the business, maintaining accurate correspondence, preventing misuse and resolving complaints. We do not use an enquiry consent box as permission for unrelated marketing.
How long we keep it
Website enquiry records are automatically deleted 12 months after submission unless relevant information has been moved into an application, tenancy or legal record that must be kept for longer. Tenancy, payment and compliance records may need to be retained for longer to meet legal, tax, accounting, insurance or claims requirements.
Your rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict your personal information, object to certain uses, and receive some information in a portable format. You can also withdraw consent where consent is the lawful basis, without affecting earlier lawful use.
Contact us first so we can try to resolve your concern. You also have the right to complain to the Information Commissioner’s Office.
